Permanent deletion of users

Under the EU General Data Protection Regulation (GDPR) Article 17, data subjects (your users) have the right to erasure. In Award Force, deleted users are soft deleted by default, meaning the account is moved to a recoverable “trash” state.

If a user requests permanent deletion—or your region requires annual deletion—you can remove the record fully by following the steps below. A certificate of deletion is automatically available in Settings > Audit > Deletion log

Only account owners can perform permanent deletion. Deletion is immediate and irreversible. 

Permanent deletion (single user)

  1. In the Manage workspace, go to Users
  2. Click the user's name
  3. On the 'Profile' tab, click Delete this user permanently…
  4. Choose one of the three deletion options 
  5. Type the user’s full name to confirm
  6. Click Delete

Bulk deletion

  1. In the Manage workspace, go to Users
  2. Select up to 100 users (tip: set page size to 100)
  3. Open the Action drop-down
  4. Click Delete permanently
  5. Choose the deletion option
  6. Enter your password
  7. Click Delete

Deletion options

When permanently deleting a user, you must choose what happens to their entries and judging data.
This is important if judging is in progress or results have already been calculated.

Option 1: wipe user data, keep user's entries, keep judging data

  • All personal data is permanently deleted
  • Entries remain intact, but no longer reference the entrant
  • Judging data (assignments, scores, comments) is retained
  • Judges can continue evaluating the entry if needed

Option 2: wipe user data, wipe user's entries, keep judging data

  • All personal data is permanently deleted
  • Entry content is deleted, but a shell entry remains (shown as its 8-character slug)
  • Judging data is retained and continues to appear in leaderboards
  • Judges can still “judge” but will not see any content

Option 3: wipe user data, delete user's entries, delete judging data

  • All personal data is permanently deleted
  • All entries are permanently deleted
  • All judging data is permanently deleted
  • Results disappear from judging views and leaderboards

Good to know

  • Only account owners can perform permanent deletion.
  • Personal data is deleted from your account, not necessarily from other Award Force programs.
    If the same user appears in multiple programs, they must request deletion from each.
  • If a user requests deletion across all Award Force programs, direct the request to Award Force support.
