This guide outlines how to send deadline reminders, promote your program, submit on behalf of entrants, set custom deadlines, moderate entries, and use tags effectively.
Send a submission deadline reminder
As your entry deadline approaches, you can send a reminder to entrants with incomplete entries using a broadcast.
- In the Manage workspace, go to Entries
- Click Advanced at the top right
- From the Status drop-down menu, select In progress
- Click Search
- Click Broadcast in the top-right corner
- Compose your message
- Click Review + send
If you choose to extend your program's entry round, check out this article: Ultimate guide to rounds.
Promote your program
While entries are open, use broadcasts to encourage more participation.
To contact users who registered interest but haven’t started an entry:
- In the Manage workspace, go to Users
- Click the Advanced in the top-right corner
- From the Role drop-down, select Entrant
- From the Entries drop-down, choose Has no entries this season or Has no entries at all
- Click Search
- Click Broadcast to draft and send an invitation to participate
You can also encourage social sharing by enabling sharing buttons on:
- The registration page
- The confirmation page after submission
- Voting pages
For details, see the Social sharing configuration guide.
Submitting on behalf of entrants
Sometimes entrants may be unable to submit an entry themselves—for example, if they lack internet access or a corporate payment method. In such cases, program managers can submit entries on their behalf.
- In the Manage workspace, go to Entries
- Search for the relevant entry and click its title to open it
- Click Edit at the top of the page
- Click Submit entry
If an entry requires payment, no order or invoice is generated when a program manager submits it. This also bypasses the 'Payment received' notification that is typically sent.
Set a custom deadline
If an entrant needs extra time, you can grant a custom deadline that applies only to their specific entry.
For details, see: Can I extend the round for some users and not others?
Moderate entries
Moderating entries before judging allows you to approve which submissions proceed to the next stage. For more details, see the Moderation guide.
Tag entries
Tags help program managers organise and select entries for judging. By default, tags are only visible to program managers and can be used when setting up judging panels.
For details, see: Tag entries and Automated tagging.
